Lead Management: Build a Clear Daily Sales Workflow
Organize lead ownership, stages, notes, and next actions in Convertly so your team can start each day knowing which opportunities need attention and why.
A useful CRM should answer a simple question: what should I do next? A list of contacts is a start, but your team also needs to know who owns each enquiry, what has happened, and what the customer is waiting for.
Convertly brings that working context onto the lead. Contact information, source, stage, notes, tasks, and follow-ups can stay together as the opportunity moves through your pipeline. Here is a daily routine for putting that information to work.
Start with work that needs attention
Begin in Leads and use the available owner, stage, source, and date filters to narrow your view. Review unassigned enquiries and active opportunities alongside your due and overdue follow-ups.
These are different questions. A newly assigned lead may need a first conversation; an older opportunity may already be waiting for a promised callback. Looking only at the newest records can hide the second kind of work.
Use the Leads list for detailed review and the Dashboard stage board to understand where opportunities sit. Both depend on your permissions and record visibility.
Give each enquiry a responsible person
Ownership should tell the team who is responsible for the next step. It should not be a substitute for a useful handover.
Before assigning a lead, check the contact details and read the latest activity. Add enough context for the new owner to continue: the customer’s request, any commitment already made, and the next decision to resolve.
For example, “Interested in a team demo; confirm availability on Thursday” is more useful than “Please follow up.” If you are assigning several records together, review the selection before confirming the bulk change.
Use stages to describe progress
Agree on entry criteria for each sales stage. “Contacted” might mean a real conversation in your process, rather than an attempted call. “Qualified” should reflect the checks your team has actually completed.
Record those decisions consistently. If everyone interprets stages differently, the board becomes difficult to trust and later analytics become harder to explain. Review connected advertising mappings before changing the meaning of an existing milestone.
Finish each conversation with a next action
After a call or WhatsApp exchange:
- Add a short outcome note.
- Update the stage when the opportunity has genuinely progressed.
- Complete the current task or follow-up if the work is done.
- Schedule the next commitment with an owner and due time.
Keep the original source intact. A customer replying on WhatsApp does not mean the enquiry originally came from WhatsApp.
End the day with a small review
Check for unassigned work, overdue promises, and active leads without a next step. Investigate a few records rather than moving stages just to make the pipeline look tidy.
Start with the lead management guide, then use the pipeline guide to agree on your team’s stage definitions. A clear routine gives the CRM something useful to organize.
