CRM Automations That Actually Save Your Sales Team Time
Most automation features are demos. Here are 5 real automation workflows that sales teams use every day in Convertly CRM.
“Automations” sounds like something your IT team owns. In reality, the best automations are boring, specific, and save your reps from doing the same five things every single day.
Here are the five automation workflows our customers set up first — and why they work.
1. Auto-assign Google Ads leads to your top closer
Trigger: Form submitted
Condition: Source = Google Ads (or UTM source = google)
Action: Assign to [Top Rep], create task “Call within 1 hour”
Google Ads leads are high-intent — they searched for something specific and clicked your ad. Routing them instantly to your best closer increases contact rates dramatically. Every minute a hot lead sits in a queue is a minute your competitor can get to them first.
2. Flag inactive leads before they go cold
Trigger: Scheduled — lead no activity for 5 days
Condition: Stage = Qualified OR Proposal Sent
Action: Notify Sales Manager via email, create task “Re-engage [Lead Name]”
The pipeline killer isn’t lost deals — it’s leads that nobody touched for a week. This automation surfaces stale leads before the sales manager notices them missing.
3. Send a nurture email when a lead goes quiet
Trigger: Scheduled — lead no activity for 7 days
Condition: Stage = New OR Contacted
Action: Send email “Still thinking it over? Here’s what we can do for you…”
Leads that don’t convert immediately aren’t dead — they’re just not ready yet. An automated follow-up email at day 7 reactivates a surprising number of cold leads without any manual effort.
4. Warn the team when you’re close to your lead capacity
Trigger: Scheduled — lead capacity warning
Condition: Lead capacity > 85%
Action: Notify Admin role, add note to admin dashboard
Running out of lead capacity shouldn’t be a surprise. This automation fires early enough that you have time to clean up old records or upgrade your plan before anything breaks.
5. Create a follow-up task the moment a form is submitted
Trigger: Lead form submitted
Condition: (none — run for every submission)
Action: Create task “First contact — call or email within 2 hours”, assign to [Sales role]
The fastest follow-up wins the deal. Speed-to-contact is the single biggest predictor of whether a lead converts. This automation ensures a task exists for every new lead, every time, with no reliance on a human to remember to create it.
Building these in Convertly CRM
All five of these automations are available in the Automations section of your CRM dashboard. The builder uses a trigger → conditions → actions structure:
- Pick a trigger (form submitted, inactivity, scheduled)
- Add conditions if you want the rule to only fire for specific leads
- Add one or more actions
No code. No third-party tools. No Zapier glue.
If you haven’t explored the Automations section yet, start with rule #5 above. It takes about 90 seconds to set up and immediately improves your response time for every new lead.
