WhatsApp Shared Inbox: Make Team Handoffs Feel Natural
Keep WhatsApp conversations, lead context, and the next sales action connected in Convertly so another teammate can pick up the conversation with confidence.
A customer should not have to repeat their story every time a different teammate responds. A shared WhatsApp inbox helps only when the person replying can understand the conversation and the work around it.
Convertly connects supported WhatsApp business-number inboxes with lead context. The goal is straightforward: read what was said, understand what is needed, and leave the next person with a clear next step.
Start with the right business inbox
A workspace Admin connects a business number through Integrations → WhatsApp. Once configured, your team can work from the appropriate inbox or combined view, subject to workspace and inbox access.
Before sending a reply, check the selected business number and recipient. This matters especially when your organization works with more than one number. A shared view is convenient, but it does not remove the need to know which business identity is replying.
If you are moving an existing production number, confirm the onboarding requirements with support first.
Read the lead as well as the conversation
Messages explain what the customer said. The lead can add context such as the owner, stage, notes, and upcoming follow-up.
Imagine a prospect who asks, “Can we do tomorrow instead?” The message makes sense only if you know whether they are changing a demo, a callback, or a document review. Check the recent conversation and linked lead before sending a confident but incorrect answer.
An effective handover note records the open question and any commitment already made. Avoid copying the entire message history into a note; summarize what the next person needs to act.
Reuse replies without losing the personal context
Saved quick replies can make repeated explanations easier. Review the text before sending it, particularly names, meeting details, and references to attachments.
A quick reply is not the same as an approved WhatsApp template. Follow the composer guidance and current Meta requirements when a template is needed. Customer consent and provider charges still apply.
For supported images or PDFs, verify the recipient and document before sending. Keep unnecessary personal information out of attachments.
Leave a next step, not just a last message
When a conversation creates work, put that work on the lead. A promise to call on Friday should become an assigned follow-up, rather than disappearing into the chat history.
Before handing over:
- Check who is responsible for the lead.
- Record the customer’s current request.
- Add the agreed task or follow-up.
- Make it clear whether the customer is waiting for a reply.
Review message status before resending an uncertain message. Queued, sent, delivered, and read describe different stages of delivery.
Build on the available messaging workflow
The inbox supports manual business conversations, templates, saved replies, and supported attachments. WhatsApp calling, groups, and a broadcast builder are not part of this workflow. AI replies are a separate feature in development.
Use the WhatsApp guide to review setup and daily use. For the next step after a conversation, see follow-up reminders.
