AI Workspace, Lead Summaries, and Scores
Convertly AI provides assistive summaries, scores, and CRM analytics explanations. AI output is advisory and should be checked against the underlying records.
Configure AI
Section titled “Configure AI”Admin and Manager can configure AI from Settings -> AI:
- Turn on the workspace AI master switch.
- Select the supported provider and model.
- Add the workspace’s own provider API key.
- Review redaction and privacy mode.
- Decide whether Staff access should remain enabled.
- Save and run a test request.
Existing keys are not shown again after storage. Replacing or clearing a key requires an intentional settings action.
Access
Section titled “Access”Admin and Manager can use AI when the workspace master switch is on. Sales and Staff can use relevant AI assistance when CRM AI and their permitted access are enabled. Staff access defaults to enabled until explicitly disabled.
AI never expands record visibility. A user can only ask about CRM data available within their role scope.
Lead summaries
Section titled “Lead summaries”A manually generated summary can highlight current context, recent activity, risks, and a suggested next step. Results are cached and can be regenerated.
Lead scores
Section titled “Lead scores”A manually generated score includes confidence and rationale. Treat it as prioritization assistance rather than an automatic qualification decision.
The Leads page supports bulk summary, score, or combined generation for the selected or all-matching lead set.
AI Workspace
Section titled “AI Workspace”AI Workspace answers CRM questions using server-calculated tools for leads, sources, owners, categories, custom fields, follow-ups, tasks, values, trends, and first-response metrics.
Good questions are specific:
- “Which assigned leads have overdue follow-ups?”
- “Compare won value by source for the last 30 days.”
- “Which owners have the longest first-response times?”
Use a named date range when it matters. Answers should lead with a conclusion, show supporting numbers, and recommend only actions supported by the data.
Threads and activity
Section titled “Threads and activity”AI Workspace supports conversation threads. Recent AI activity appears inside Settings -> AI, including feature, model, status, latency, usage when available, and failure details.
If shared AI persistence is unavailable in an environment, Convertly shows a warning and may use workspace settings or same-browser recovery storage. Cross-device thread history may be limited until the workspace is fully updated.
Privacy
Section titled “Privacy”Relevant CRM context is sent server-side to the tenant-selected AI provider using the tenant’s API key. Review that provider’s retention and training terms before enabling AI for customer data.
