Roles and Access

Roles control what a user can see and change inside your Convertly workspace.

Role Intended use
Admin Workspace owner with full tenant control
Manager Operational leader managing teams and CRM configuration
Sales Organization-wide sales operator without billing or configuration access
Staff Assignment-focused user working on their own records

Admins can manage workspace settings, users, billing, forms, automations, integrations, leads, tasks, follow-ups, analytics, and Trash. Only Admins can open Stripe account-management actions and permanently delete leads from Trash.

Keep at least two trusted Admins when possible so the workspace does not depend on one person.

Managers have broad operational access. They can manage leads, users below the Admin role, forms, automations, lead sources, categories, ads settings, AI settings, notifications, and reporting.

Managers can view Billing, but they cannot open Admin-only Stripe account-management actions, make another user an Admin, remove an Admin, or perform permanent lead deletion.

Sales users have organization-wide visibility for leads, tasks, follow-ups, calendar, dashboard, analytics, lead flow, and relevant AI context. They can work records, manage assignment where allowed, and use filtered lead import and export.

Forms and Automations are read-only. Billing and workspace configuration are unavailable.

Staff users work primarily with leads, tasks, and follow-ups assigned to them. A directly assigned task or follow-up may provide read-only context for its related lead.

Staff cannot use lead import or export and cannot change Forms or Automations. Billing and administrative settings are unavailable.

  • Use Staff for tightly scoped operational work.
  • Use Sales when a rep needs the shared sales pipeline and reporting.
  • Use Manager for team leaders who configure CRM workflows.
  • Reserve Admin for people responsible for workspace ownership and billing.

Review access whenever responsibilities change or a user leaves the organization.
