Lead Trash and Recovery

Trash is a safety net for lead deletion. Moving a lead to Trash removes it from active pipeline views without immediately destroying the record.

Open Leads and switch to the Trash view. Trash uses the same organization and role visibility rules as active leads.

A trashed lead is clearly marked and excluded from normal pipeline views, analytics, AI context, and operational counts. Billing capacity may still include Trash records.

Accessible users can move permitted leads to Trash from individual or bulk lead actions. Confirm the selected records before continuing.

Moving a lead to Trash does not automatically erase linked tasks, follow-ups, notes, or attribution context.

  1. Open the Trash view.
  2. Select the lead.
  3. Choose Restore and confirm.
  4. Review stage, assignment, tasks, and follow-ups before resuming work.

Permanent deletion is restricted to Admin and platform Developer roles. It removes the lead and handles linked workflow references that cannot remain attached.

Permanent deletion cannot be undone. Export or otherwise preserve information that must be retained before confirming it.

  • Use Trash instead of permanent deletion during routine cleanup.
  • Check active filters before bulk actions.
  • Define an organization retention policy before clearing Trash.
  • Restrict Admin access to trusted workspace owners.
