AI Workspace & AI Insights

Convertly CRM includes a set of AI-powered tools designed to help your team work faster and focus on the right leads. All AI features run on your own API key — Convertly never charges for AI usage or shares your data with a centralized AI service.

Staff access to AI features can be toggled by your account Admin or Manager under Settings -> AI.


Setting Up AI

  1. Go to Settings -> AI.
  2. Enable AI for your organization.
  3. Configure provider and model options for your workspace.
  4. Set staff access if required.
  5. Save changes. AI features will activate immediately.

If your API key is invalid or the provider is unreachable, AI features will show a clear error — no silent failures.


Lead Summary

The Lead Summary gives you a concise AI-generated overview of a lead based on their profile, notes, activity, and follow-up history.

Where: Open any lead → click Generate Summary in the AI panel on the right.

The summary includes:

  • A brief profile of the lead’s situation
  • Key signals from recent activity
  • Risks or stalling indicators
  • A recommended next step for your rep

You can regenerate the summary at any time. Summaries do not overwrite any CRM data.

Bulk Summaries

To generate summaries for multiple leads at once:

  1. Go to the Leads list.
  2. Select the leads you want to process (checkbox on each row).
  3. Click AI Actions → Generate Summaries.

Bulk jobs run in the background and populate the summary panel on each lead when complete.


Lead Scoring

Lead Scoring gives each lead a 1–10 score based on their profile data, engagement signals, and pipeline activity. Higher scores indicate stronger buying intent.

Where: Open any lead → the score appears in the AI panel. Scores also appear as a column in the Leads list.

Scores update automatically when you regenerate them. You can also bulk-score leads from the Leads list using AI Actions → Score Leads.

Score ranges:

AI Workspace

AI Workspace is a conversational interface for asking questions about your CRM data. Think of it as a knowledgeable assistant who has read every lead, deal, and follow-up in your account.

Where: Click AI Workspace in the left navigation sidebar.

What You Can Ask

  • “Which leads have gone cold in the last two weeks?”
  • “What’s our conversion rate for leads from Google Ads this month?”
  • “Summarise the pipeline for the Melbourne team.”
  • “Which reps have the most overdue follow-ups?”

Prompt Library

Below the chat input you’ll find a Prompt Library — a curated set of starter prompts for common daily queries. Click any prompt to load it into the input, then edit and send.

Conversation Threads

AI Workspace saves your conversation history as threads. You can:

  • Start a new thread at any time
  • Return to previous threads from the thread list on the left
  • Each thread is private to your user

AI Insights (Analytics)

AI Insights surfaces automatically generated performance highlights in the Analytics section. These are updated periodically based on your live pipeline data.

Where: Go to Analytics → AI Insights.

Example insights generated:

  • Top performing lead source over the last 30 days
  • Leads with the highest conversion risk this week
  • Recommended high-priority follow-ups for your team
  • Pipeline velocity changes compared to the prior period

Insights are read-only and advisory — they do not change any CRM records.


Privacy and Data Handling

  • Your CRM data is sent to your chosen AI provider using your own API key.
  • Convertly does not store AI responses centrally or use your data to train models.
  • All AI requests are scoped to your organisation — no data is shared between tenants.
  • Every AI operation is logged in your account’s AI activity log for auditing. Admins can review this log under Settings → AI Activity.

Troubleshooting AI Features

AI features are greyed out or not visible

  • Check that AI is enabled in Settings -> AI.
  • Confirm that the specific feature is toggled on.
  • Confirm your role has access (Staff users may need the Admin to enable AI access).

“Provider error” or “Invalid key” message

  • Verify the configured provider and model are active.
  • Check that your provider account has sufficient credit or quota remaining.

Summaries or scores are not generating

  • Bulk jobs run in the background — wait a moment and refresh the lead.
  • If the job still has not completed, check Settings → AI Activity for error details.

Scores seem inaccurate

  • Lead scoring improves with more complete lead profiles. Ensure key fields (source, stage, notes, activity) are filled in for the best results.
