What are follow-up reminders?

A follow-up reminder is an alert delivered when a scheduled follow-up is approaching or overdue. Reminders ensure your sales team never misses a follow-up they have committed to.


Types of follow-up reminders

Due today

When a follow-up’s scheduled time arrives, the assigned rep receives:

  • An in-app notification in the bell icon
  • An email notification (if enabled in notification preferences)

The follow-up also appears at the top of the Follow-up queue in the dashboard.

Overdue

If a follow-up passes its scheduled time without being marked done, the system sends an overdue alert:

  • In-app notification (urgent styling)
  • Email notification (if enabled)
  • The item surfaces in the “Overdue” section of the follow-up queue with red highlighting

Automating follow-up scheduling

The most effective pattern is to use automations to schedule follow-ups automatically, so your team never has to create them manually.

Recommended automation setup:

Trigger: lead_stage_changed → to "Contacted"
Action: schedule_followup → 2 days from now, note: "Check in on interest level"
Trigger: lead_no_activity_for_days → 4 days
Condition: stage is "Qualified"
Action: schedule_followup → 0 days (today), note: "Re-engage — stale qualified deal"

Reminder delivery settings

Configure how follow-up reminders are delivered in Settings → Notifications:

Daily digest

Admins can optionally enable a daily digest email that summarizes:

  • Follow-ups due today (per rep)
  • Overdue follow-ups (per rep)
  • New leads from the past 24 hours

The daily digest is sent at the time configured in Settings → Notifications → Daily Digest.


Team-wide reminders

Managers and Admins receive a consolidated view of all team follow-ups in the follow-up queue (using the “All assignees” filter). Overdue follow-ups across the team surface in the manager’s notification center automatically.
