Onboarding Guide

Follow these steps in order. Each step builds on the previous one. The entire process takes about 20–30 minutes for a basic setup.

  1. Invite your team

    Go to Settings → Team → Invite User and invite each sales rep. Choose the Manager role for team leads and Staff for limited access.

    Team members receive an email invitation. They set their password on first login.

  2. Create your first lead form

    Go to Forms → New Form. Add the fields you want to capture (name, phone, email, any custom fields).

    Click Publish to get the embed code. Paste it onto your landing page or website.

    Every form submission will automatically capture gclid, fbclid, UTMs, landing page URL, and referrer — no configuration needed.

  3. Test the form

    Open your landing page and submit a test entry. Within a few seconds the lead will appear on your Kanban board under the New stage.

    Open the lead and click the Attribution tab to confirm click IDs and UTMs were captured.

  4. Connect Google Ads (if applicable)

    Go to Settings → Ads Attribution → Google Ads. Enter your Customer ID and OAuth credentials.

    Set the conversion trigger stage — usually “Closed Won”. From that point, every time a lead reaches that stage, an offline conversion is automatically sent to Google Ads.

  5. Connect Meta Ads (if applicable)

    Go to Settings → Ads Attribution → Meta Ads. Enter your Pixel ID and Conversions API access token.

    Set the stage that triggers the conversion event. Convertly will dispatch server-side CAPI events when leads reach it.

  6. Set up follow-up automations

    Go to Automations → New Automation. Create a rule like:

    • Trigger: Lead status changes to “Contacted”
    • Action: Schedule follow-up in 2 days

    This ensures every lead gets a follow-up scheduled automatically. See Automations for more.

  7. Review your dashboard

    Go to Dashboard and confirm your first leads are visible, stages are correct, and your team members can log in and see their assigned leads.

Key settings to revisit

After your initial setup, come back and configure:

  • Notification preferences — decide which events trigger email or in-app notifications
  • Automation library — build rules for inactivity reminders, lead assignment, and status changes
  • SMTP settings — if you want Convertly to send emails on your behalf from your own domain
