Pipeline Overview

The Kanban board

The Convertly CRM pipeline is a Kanban board located at /dashboard. Each column represents a stage in your sales process. Each card is a lead.

  • Scroll horizontally to see all stages
  • Click a lead card to open the detail page
  • Drag and drop cards between columns to change their stage
  • Use the search bar at the top to filter by lead name, email, or phone
  • Use the filter button to filter by assignee, source, or date range

Sales stages

Your pipeline uses a standard set of stages. Contact support if you need stages adjusted for your workflow.

Default stages:

Adding leads to the pipeline

Leads enter the pipeline through:

  1. Form submissions — when a visitor submits a Convertly-embedded form
  2. Manual creation — click + New Lead from the board or list view
  3. Import — bulk CSV import (see Lead Import)
  4. Meta Lead Form webhook — if you have Meta lead gen ads connected

All new leads default to the New stage unless otherwise specified.


Viewing the pipeline

You can switch between two views:

  • Kanban — the default card-based column view
  • List — a sortable table view at /dashboard/leads

Both views are filtered by the same criteria. Your view preference is saved per session.


Stage limits and performance

There are no hard limits on the number of stages you can create. However, for pipeline clarity, most teams work best with 5–8 stages. Having too many stages can fragment data and make reporting less useful.


Conversion stage

The Closed Won stage is the conversion trigger — when a lead reaches this stage, Convertly automatically dispatches offline conversion events to Google Ads and Meta. Go to Settings → Ads Attribution to confirm your conversion credentials are connected.
